2. Data collected

EventReplay collects the following categories of data:

• Participant data: email address, used to grant access to replay content via magic link.
• Navigation data: anonymous technical data collected for internal analytics purposes (pages visited, session duration, device used).
• Contact form data: name, email and event description, voluntarily provided by the organizer via the website form.
• AI chatbot data: messages sent to the chatbot are processed to generate responses relevant to the event content.

3. Legal basis for processing

• Performance of a contract (Art. 6.1.b GDPR): for participant access to replay content and service delivery to organizers.
• Legitimate interest (Art. 6.1.f GDPR): for internal analytics aimed at improving the service and generating reports for organizers.
• Consent (Art. 6.1.a GDPR): for processing data submitted via the contact form and for commercial communications.

4. Purposes of processing

• Delivery of the post-event replay service (video, slides, transcripts, chatbot).
• Generation of analytics and usage reports for organizers.
• Commercial and service communications (only with explicit consent).
• Continuous platform improvement.

5. AI chatbot

EventReplay provides an AI-powered chatbot for each event session. Messages sent to the chatbot are processed solely to generate responses relevant to the session content. Messages are not shared with third parties and are not used to train external AI models.

6. Data retention

Personal data is retained for the entire duration of the contract with the organizer, plus an additional 12 months after expiry, for administrative and support purposes. At the end of this period, data is deleted or anonymised.

7. Where we store data

All data is stored on servers located in the European Union, in full compliance with the GDPR. We do not transfer data outside the European Economic Area.

8. Cookies

EventReplay uses exclusively technical session cookies, necessary for the platform to function. We do not use profiling cookies or third-party tracking cookies.

9. Your rights

Under the GDPR, you have the right to:

• Access: obtain confirmation of processing and a copy of your data.
• Rectification: correct inaccurate or incomplete data.
• Erasure: request deletion of your data.
• Portability: receive your data in a structured, machine-readable format.
• Objection: object to processing based on legitimate interest.
• Withdrawal of consent: withdraw consent at any time, without affecting the lawfulness of processing based on consent before its withdrawal.
